Valeen Vista Residences Phase II-A Homeowners Association ("we," "us," or "our") operates the Valeen Vista HOA Management Information System (MIS) portal. To manage HOA registrations, household memberships, and water utility service logs, we collect and store:

  • Personal Details: Names, contact numbers, email addresses, emergency contact details, and proof of property ownership documentation.
  • Household Records: Details of co-residents, registered tenants, domestic pets, and resident vehicles for security validation.
  • Utility Statistics: Water meter reading logs, consumption rates, invoices, payment receipts, and payment transactions.
  • Feedback & Requests: Details provided when filing complaints or maintenance repair tickets.
2. Purpose of Data Processing

We process personal data solely for the following administrative purposes:

  • Validating subdivision registrations and household assignments.
  • Generating monthly billing statements, arrears computations, and receipting.
  • Coordinating repair tickets with designated utility maintenance personnel.
  • Sending critical alerts, announcements, and account security notifications.
3. Data Retention and Protection

We store data in a secure database hosted on certified servers with restricted access controls. Personal information is only accessible to authorized HOA Administrators, cashier, and staff. We retain your profile data as long as your membership is active or as required by governing subdivision laws.

Under the Data Privacy Act, you have the right to access your stored profiles, request updates or corrections for profiling details (subject to administrator verification), and file inquiries regarding the processing of your data by contacting the HOA office.
